Your Role:

Assists in project management support and analysis with some guidance. Works with customers to understand and analyze operational procedures, information requirements, processes and/or other needs.

Department Summary:

Vanderbilt Operational Services (VOS) is a multi-focal department designed to help open new locations, manage clinical and/or administrative moves, and to serve as the operational arm for all clinical locations outside of the 21 st avenue and One Hundred Oaks campuses. This operational support includes the common infrastructure and system, i.e. environmental services, building management, hazardous waste pick up, rent, IT infrastructure, phones, etc. The goal of the VOS team is to work with each customer to meet the non-clinical needs of the respective clinics on a continuing basis. Much as the clinics on the 21 st avenue campus and One Hundred Oaks enjoy the benefit of relying on a central function to manage the core systems, i.e. contracts, services, the institutional goal is to mirror that in the remote locations.

Vanderbilt Operational Services provides operational infrastructure support for the following services:

* Technology and phone support computers, printers, phones

* Facility management support plant services reuqests, building maintenance needs, heating/cooling

* Environmental services support janitorial services needs, biohazard pick-up needs, sterilization

* Signage support internal and external signage needs

* Equipment and furniture support new or broken equipment/furniture

* Vendor/Landlord management support services contract management, landlord contact

* Medical records support

* Telemedicine inquiries

Position Shift:

  • This position is Monday - Friday; Days.
  • In some cases, the candidate selected for this position may have to assist with a weekend move, early morning move, or an evening move.
  • Travel is required to various clinics in West, Middle, and East Tennessee, Northern Alabama, Southern Kentucky and our Regional Clinics.
  • Provides support for the planning, developing and executing the project in order to meet established goals, objectives and timelines.
  • Supports the day to day project activities.
  • The responsibilities listed are a general overview of the position and additional duties may be assigned.

TECHNICAL CAPABILITIES:
PROJECT MANAGEMENT (NOVICE): - Planning, organizing, and managing resources to bring about the successful completion of specific project goals and objectives.


PROCESS IMPROVEMENT (NOVICE): - Identifies, analyzes and improves upon existing business processes for optimization and to meet standards of quality.


PROJECT PLANNING - (NOVICE): - Demonstrates ability to realistically anticipate resource needs, identify and break work down into discrete and measurable tasks, set priorities, define dependencies, schedule activities, prepare acceptance criteria and organize work for a medium sized project. Appropriately matches equipment and capital resources to task demands. Reshapes project during life-cycle evolution, if needed. Demonstrates ability to break down work into manageable and measurable units, estimating time and costs appropriate to the stage of the project. Works with basic project management tools, either paper-based or computer software systems.


GAP ANALYSIS (NOVICE): - Analyzes the difference between the current and desired state. The ability to draw appropriate and valid conclusions from data presented, sifting through data to determine the most significant elements. Identifying common elements and themes in situations and actions, recognizing cause and effect relationships.


FINANCIAL PROCESSES (NOVICE): - Ability to monitor costs, expenses and revenue as well as the ability to manage those costs and expenses in relation to budgeted amounts.
